Privacy Policy

1. WHO WE ARE

Elite Caddie («we», «our», «us») is developed and operated by Anvixion Digital SL, registered in Spain, with registered address at Pins 33, 08620 St. Vicenç dels Horts, Barcelona, Spain. Anvixion Digital SL is the data controller responsible for your personal data under this Privacy Policy. This Privacy Policy explains how we collect, use, and protect your personal data when you use the Elite Caddie application («the App»).

We have not appointed a formal Data Protection Officer, as our processing activities do not meet the scale that requires one under Article 37 of the GDPR. For any privacy-related matter, including exercising your rights (see Section 8), contact us at privacy@elitecaddiegolf.com.

2. DATA WE COLLECT

We collect the following categories of data:

  • Account data: email address and password (via Firebase Authentication) when you register.
  • Profile data: first name, handicap index, skill level, gender, playing hand, preferred language, and distance units.
  • Equipment data: club bag configuration and playing style preference.
  • Golf performance data: scorecards, swing analysis results, handicap evolution, and round statistics.
  • Location data: GPS coordinates used for the Rangefinder feature (distance to flag, wind data) and Round Pass live tracking. While a Round Pass round is active, the App keeps accessing your location even when the screen is locked or the App is not in the foreground, via an Android foreground service with a permanent notification visible; that access stops when the round ends or if you close the App. For signed-in users, the coordinates of each Green Reader analysis are saved to your account on our servers so your caddie can recognize a green you’ve read before and recall past notes on return visits. GPS used elsewhere in the App (e.g. live Rangefinder position) is not stored on our servers.
  • Swing video: when you request an analysis, the recorded swing clip or extracted frames are sent through our backend to the AI service for processing. Elite Caddie does not save the original swing video in your Firebase account.
  • Green Reader photos: every green read requires a photo. The image you take is sent through our backend to the AI service for analysis. Elite Caddie does not save that photo: only the coordinates and the analysis text are kept from each read.
  • AI feedback: if you rate or report an AI response, the response snippet and any reason or comment you submit are stored with your account so we can review quality and safety.
  • Usage and diagnostic data: in-app interactions used to improve AI caddie personalization, plus crash reports and pseudonymous, aggregated usage analytics (see Section 4).

3. HOW WE USE YOUR DATA

We use your data exclusively to:

  • Provide AI-powered swing analysis and caddie coaching.
  • Personalize caddie responses based on your playing style and history.
  • Calculate and track your handicap index and season statistics.
  • Process subscription payments and verify entitlements.
  • Provide location-based features such as distance measurement and wind analysis.
  • Diagnose crashes and improve app stability and performance.

We do not sell your personal data to third parties. We do not use your data for advertising purposes.

4. LEGAL BASIS FOR PROCESSING

Where the GDPR applies, we rely on the following legal bases for each purpose described in Section 3:

  • Performance of a contract (Art. 6.1.b): account, profile, equipment, golf performance, and location data needed to provide the features you use, and payment processing to fulfil a purchase.
  • Legal obligation (Art. 6.1.c): retaining billing records for accounting, tax, and fraud-prevention purposes.
  • Legitimate interest (Art. 6.1.f): crash reporting and aggregated usage analytics, used to keep the App stable and to understand how features are used — you can opt out of this at any time from Settings without affecting core functionality.

We do not process special categories of data (e.g. health data) and do not carry out automated decision-making that produces legal or similarly significant effects on you.

5. THIRD-PARTY SERVICES

The App uses the following third-party services (data processors acting on our instructions), each governed by their own privacy policies:

  • Google Firebase — authentication and data storage (Google Privacy Policy).
  • Google Firebase Crashlytics — automated crash and error reporting to help us fix bugs.
  • Google Firebase Analytics — pseudonymous, aggregated usage analytics (which screens are used, how often) to help us improve the App.
  • Firebase App Check — verifies that requests to our servers come from a genuine copy of the App rather than a script or a modified build. To do so it sends device and app integrity signals to Google Play Integrity (Android) or Apple App Attest (iOS). It carries no personal data and none of your content.
  • Google Gemini AI — AI analysis of swing clips, images, golf data and caddie prompts, called through our own secured servers. Data submitted is governed by Google’s API terms.
  • Google ML Kit (pose detection) — locates your body position in the frames of your swing video so the analysis can pick the key moments. It runs entirely on your device: the images are not sent to Google for this.
  • Operating-system speech recognition — when you use the caddie’s talk button, your voice is transcribed by your device’s own speech recognition service (Google on Android, Apple on iOS). Depending on the device and its settings, that transcription may happen locally or on that provider’s servers, under their policies. Elite Caddie never receives or transmits the audio: only the resulting text reaches our servers.
  • Google Maps Platform (Maps SDK and Places API) — mapping, GPS positioning and golf-course search. Its use is governed by Google’s Terms of Service and the Google Maps/Google Earth Additional Terms of Service, and Google’s handling of data by the Google Privacy Policy (policies.google.com/privacy), which is incorporated into this Policy by this reference.
  • RevenueCat — subscription management and in-app purchase processing.
  • Open-Meteo — wind and weather data. When you request weather or wind information, the relevant latitude and longitude are sent with the request so the service can return local conditions.

6. INTERNATIONAL DATA TRANSFERS

Some of the providers listed in Section 5 (including Google Firebase, Google Gemini AI, and RevenueCat) may process data outside the European Economic Area, including in the United States. Where this occurs, it is carried out under appropriate safeguards, such as Standard Contractual Clauses approved by the European Commission, as offered by these providers under their own data processing agreements.

7. DATA STORAGE & RETENTION

Your profile and performance data is stored securely in Firebase (Google Cloud infrastructure). We retain your data for as long as your account is active. If you delete your account, all associated data is permanently removed within 30 days. You can request deletion at any time from Settings within the App, or visit elitecaddiegolf.com/account-deletion for instructions.

This includes your customer record at RevenueCat, our subscription-management provider: deleting your account deletes it there too, along with the purchase history attached to it.

Exception: the billing records held by Google Play and the Apple App Store for purchases you made. Those records belong to the store you bought through, are retained by them for their own accounting and tax obligations, and are governed by their own privacy policies. We cannot delete them on your behalf.

Second exception, for abuse prevention: when a free allowance is used we keep an irreversible cryptographic fingerprint of the email address, alongside a count of what was used. We do not keep the address itself, your user identifier, or any other data beside it, and the fingerprint cannot be turned back into the address. It exists so that free allowances cannot be reset by deleting an account and registering again. It is deleted automatically 90 days after it was last used. The legal basis is our legitimate interest in preventing abuse of the service (GDPR Article 6(1)(f)).

8. YOUR RIGHTS

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction (rectification) of inaccurate data.
  • Request deletion (erasure) of your account and associated data.
  • Request restriction of how we process your data.
  • Receive a copy of your data in a portable format, or object to processing based on our legitimate interest (see Section 4).
  • Withdraw consent for optional data processing at any time.

To exercise these rights, contact us at privacy@elitecaddiegolf.com — we aim to respond within one month. If you are in the European Economic Area and believe we have not adequately addressed your request, you also have the right to lodge a complaint with your local data protection supervisory authority; in Spain, this is the Agencia Española de Protección de Datos (AEPD, www.aepd.es).

9. MINORS’ PRIVACY

The App is intended solely for people aged 18 or over. It is not directed at anyone under 18, and we do not knowingly collect personal data from anyone under 18.

This age limit is also required by the artificial-intelligence providers the App’s features rely on (see Section 5), whose terms require users to be 18 or older. You are asked to confirm your age when you create your profile.

If you believe someone under 18 has provided us with personal information, please contact us immediately at privacy@elitecaddiegolf.com and we will delete that data and the associated account.

10. SECURITY

We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), Firebase security rules, and secure API key management via Cloud Functions. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

11. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. We will notify you of any significant changes via in-app notice. Continued use of the App after changes constitutes your acceptance of the updated policy.
